Overview

The Executive Assistant provides comprehensive support to the Senior Vice President, Head of Residential and Vice President, COO as well as other members of the Residential leadership team.  This person also provides general management for the Residential Atlanta office. The Executive Assistant works independently, performing a wide range of administrative and clerical support duties. The position requires excellent organization, communication and interpersonal skills, and the ability to take proactive steps to keep the senior leadership team and office well organized and functioning at a high level. This individual should also provide timely information and services to a wide range of internal and external clients.  

Responsibilities

Provide Administrative support including but not limited to:

  • Coordinating and scheduling travel arrangements and itineraries.
  • Coordinating and scheduling meetings, preparing applicable agendas and materials for both internal and external client facing
  • Expense reports.
  • Providing calendar management support.
  • Handling administrative details of assigned projects.
  • Assisting with additional assignments that may be requested, take initiative in lending assistance to other members of the team.
  • Assist with coordinating events such as office lunches, holiday parties, or other events.

 

Providing Office Management support:

  • Liasoning with Building Services and ensuring visitor access, sending building notifications, opening service maintenance tickets.
  • Assigning visitor offices.
  • FedEx and mail receipt and distribution.
  • Ordering and stocking supplies for office, including breakroom supplies.

Qualifications

  • Bachelor’s degree
  • 5+ years’ experience supporting senior executive, preferably in real estate or financial services office setting.
  • Proficiency with Microsoft Office and Adobe Acrobat.
  • Excellent written and verbal communications skills.
  • Strong administrative skills with the ability to proactively keep projects on schedule.
  • A high level of organization, thorough attention to detail, and ability to multitask.
  • A team player with a client service attitude toward immediate team and company members.
  • Impeccable follow up skills and commitment to keeping staff informed of status of projects and completed tasks.
  • The ability to exercise sound judgment and discretion, particularly with sensitive non-public information.
  • Ability to work well with all levels of internal management and staff, as well as outside clients and vendors.

This is an in-office position located at 3340 Peachtree Rd NE Suite 2250, Atlanta GA 30326
