Overview

The Compliance Administrator will work with the Asset Services Compliance team to ensure that all aspects of tenant and vendor compliance are managed efficiently and professionally. This position will support compliance operations through document collection, compliance tracking, system administration, and collaboration with internal stakeholders. The role will function as a key administrative resource supporting compliance initiatives across a large commercial real estate portfolio.

Responsibilities

Compliance Administration

  • Initiate and manage tenant, vendor, and insurance producer outreach to obtain required compliance documentation, including Certificates of Insurance (COIs) and vendor contracts.
  • Monitor and follow up on outstanding documentation requirements.
  • Track communication activity and maintain detailed records of outreach efforts.
  • Escalate unresolved compliance issues to the Operations Compliance Specialist.

Document Management and System Administration

  • Management of lease documentation within internal systems.
  • Maintain vendor compliance.
  • Review documentation for completeness and accuracy.
  • Maintain organized and audit-ready records in accordance with company standards.

Compliance Tracking and Reporting

  • Maintain detailed tracking of outstanding and completed compliance requirements.
  • Monitor compliance status across tenant and vendor populations.
  • Track insurance expiration dates and renewal timelines.
  • Update internal systems to reflect current compliance status.
  • Assist with the preparation of compliance reports and status updates.

Communication

  • Maintain daily communication with the Operations Compliance Specialist and Property Management teams.
  • Respond to compliance-related inquiries from tenants, vendors, and internal stakeholders.
  • Coordinate with Property Management teams to obtain lease and vendor documentation.
  • Interface as necessary with Asset Management, Property Management, Legal, Risk Management, and other internal business partners.

An assessment may be administered for computer and communication skills.

 

This full-time position is based in Orlando, FL  and requires daily on-site attendance from 8:00 am to 5:00 pm, Monday through Friday. This is an in-office position and is not eligible for remote or hybrid work arrangements.

Qualifications

  • Associate's degree or equivalent combination of education and experience.
  • One to three years of experience in an administrative, operations support, compliance, or coordination role.
  • Strong organizational skills with the ability to manage multiple priorities and deadlines.
  • Excellent written communication skills and professional business correspondence experience.
  • High attention to detail and accuracy in document management and data entry.
  • Proficiency with Microsoft Office applications, including Outlook, Excel, Word, and PowerPoint.
  • Experience in commercial real estate, property management, compliance, insurance administration, or risk management environments preferred.
  • Familiarity with SharePoint and Prism or similar document management systems preferred.
  • Exposure to insurance documentation, including Certificates of Insurance (COIs), is a plus.
